Landlords Terms & Conditions

Full Terms and Conditions are contained within our Agency Agreement available on request.

Advertising

We will firstly circulate details to selected applicants who have already completed a Tenancy Application and whom we have interviewed. We may also advertise your property in the local newspapers (at no charge to you). For larger Country Properties we shall advertise in the appropriate media and outside of the immediate area.

Tenants References

We shall seek references from employer's), previous landlord or mortgage lender and character references. We shall obtain a financial reference by means of a credit search. This search if proved positive is then acceptable to the Insurers for a Legal Protection & Rental Warranty Policy.

To complete the reference procedure we will wherever possible conduct a home visit to the applicants present home. This helps us to ascertain their lifestyle and suitability to occupy your property.

Safety Regulations

We take care of all Gas, Fire & Electricity checks and arrange for the issuing of the Landlords Safety Certificate. A three star maintenance agreement must be in place for the gas appliances within the property.

Accompanied Viewing

We prefer to hold keys in order to arrange viewing ourselves. We do not allow the prospective tenants access to the keys and all applicants are accompanied on viewing visits. If you are still in residence we will arrange an appointment with you by telephone. We do not send prospective tenants along without we accompany them.

Obtaining The Best Market Rent

We will forward offers of rent as quickly as possible. We will negotiate with the prospective tenants on your behalf. When an agreement is imminent we will ask if you would like to meet the applicants to discuss any specific points of the tenancy. We will be present at this meeting. If you would prefer not to meet the applicants we shall proceed to request a holding deposit.

Inspection Visits

We will make periodic routine visits to the property to ensure compliance with the terms of the Tenancy Agreement. Also dealing with any problems the tenants may have at that time.

Rent Collection

Rents are collected by ourselves on a monthly basis directly from the Tenant(s) by standing order.

Financial Statements & Accounting

A statement of account will be sent to you on a monthly basis. This will show details of your account and any expenditure and sums credited to your bank or enclosed in the form of a cheque. Rents are credited to your account within 3 working days of receipt by ourselves from your tenant(s).

Our Fees

Basic Letting Plan: Equivalent to two & one half weeks rental subject to a minimum fee of £250

Basic Plan Plus Rent Collection: As basic plan with additional fees of 6% being deducted from the monthly rent due. ( Includes Rental Warranty)

Full Management Plan: Initial £50 set up fee plus 15% of calendar monthly rent due. (Includes Rental Warranty) 12.5% Excluding Warranty

Rental Warranty Scheme

With both Rent Collection and Full Management Plan, The Warranty Policy guarantees your rent should the tenant fail to pay. This also includes Legal Expenses Cover

Preparing Inventory & Agreement

We will prepare our standard Assured Shorthold Tenancy Agreement under section 21 of the Housing Act 1988 Complying with all current legislation & serving all notices. Should you require any specific clauses to be included, these will be entered at no extra cost.

We can if required prepare an inventory of the contents of the property and their condition. This is not only documented, items are recorded by digital camera and held on disk in your personal file This service is optional and subject to an additional charge depending on the size of the task.

Insurance

Sovereign Estates can provide you with Insurance for most aspects of your property requirements including Legal Expenses Cover, Rental Warranty, Building and Landlords Contents Insurance.
